TRIP CANCELLATION POLICY

OVERVIEW
This Trip Cancellation Policy applies to all guided trips and classes booked through West Side Fly Guide at westsideflyguide.com. By making a booking request or issuing instructions to proceed with a booking with West Side Fly Guide, you acknowledge that you have read, understood, and agree to be bound by this policy. DEPOSIT AND PAYMENT
West Side Fly Guide requires a minimum $200 non-refundable deposit at the time of booking to reserve your date. If not paid in full at the time of scheduling, the remaining balance is due a minimum of 30 days before your scheduled date. Reservations made 30 days or less before your selected date require full payment at the time of booking to confirm your reservation. Receipt of a deposit or payment constitutes your agreement to our payment, deposit, and cancellation terms.
CANCELLATION BY CUSTOMER
Cancellations made more than 30 days before your scheduled trip or class date will receive a refund of any amount paid beyond the non-refundable deposit. Cancellations made between 14 and 30 days before your scheduled date are not eligible for a refund but may be rescheduled one time subject to availability. Cancellations made less than 14 days before your scheduled date are non-refundable and are not eligible for rescheduling. Any cancellation made less than 30 days before your scheduled date or failure to show on the day of your trip will result in forfeiture of the full payment. No refunds will be issued for no-shows or late arrivals.
EMERGENCY EXCEPTIONS
West Side Fly Guide understands that unexpected emergencies happen. In the case of a documented emergency, West Side Fly Guide may at its sole discretion consider exceptions to this policy on a case by case basis. To request an exception please contact us as soon as possible at westleysallen@gmail.com with documentation of the emergency. West Side Fly Guide makes every reasonable attempt to resolve issues with guests and does not wish to enforce cancellation policy unless absolutely necessary.
RESCHEDULING
Rescheduling is subject to availability and must be requested within the eligible window as described above. Only one reschedule per booking is permitted. Rescheduled trips must be completed within one year of the original trip date. Rescheduled trips are subject to all terms of this policy.
HOW TO CANCEL OR RESCHEDULE
To cancel or reschedule a trip or class please contact us as soon as possible at westleysallen@gmail.com. Please include your name, booking date, and scheduled trip date in your message. Cancellations and reschedule requests are not considered confirmed until you receive written confirmation from West Side Fly Guide.
CANCELLATION BY WEST SIDE FLY GUIDE
West Side Fly Guide monitors weather conditions, water levels, and river closures and reserves the right at its sole discretion to cancel any trip at any time for safety reasons. In the event that West Side Fly Guide cancels a trip due to unsafe weather conditions, dangerous river levels, emergency river closures, or other circumstances beyond our control, the trip will be rescheduled for a different date subject to availability within one year of the original trip date with no applicable fees. West Side Fly Guide makes every attempt not to cancel a trip unless safety concerns arise for reasons beyond our control.
SURCHARGES
West Side Fly Guide will use all reasonable efforts to maintain trip costs as stated at the time of booking. However, West Side Fly Guide reserves the right to pass on any surcharges or cost increases due to circumstances outside its control. West Side Fly Guide will endeavor to notify guests of any likely surcharge as soon as possible. If a surcharge is not paid within the time stipulated, West Side Fly Guide will construe such non-payment as a cancellation and cancellation terms will apply.
TRAVEL INSURANCE
West Side Fly Guide strongly recommends that all guests purchase travel insurance to protect against trip cancellations, postponements, or rescheduling due to unforeseen circumstances. Please be aware of coverage limits and additional options within your policy before purchasing. Travel insurance is particularly recommended for multi-day trips.
REFUND PROCESSING
Approved refunds will be processed to your original payment method within 5 to 10 business days. Please allow an additional 3 to 5 business days for funds to appear in your account depending on your bank.
MODIFICATIONS TO THIS POLICY
West Side Fly Guide reserves the right to modify this policy at any time for future bookings. Changes will be posted on this page with an updated date. We take note of the active date of our cancellation policy upon your booking and reference this for any complications before and during your visit.
